Location: The class will be at the picnic area next to the duck pond behind the Cavendish Laboratory, which can be found at https://goo.gl/maps/y7d9e3Bd19ibHLGi8

If cycling from central Cambridge towards the West Cambridge site you would leave the cycle path here, and then turn left into the grounds of the laboratory: https://goo.gl/maps/kmeiWsEyG4CrgCfi6

No car parking on the site is available to us.  You might find parking on Clerk Maxwell Road, or else at Madingley Park and Ride.

Weather: The class won't take place if weather is toooo bad.  We'll make a decision by the afternoon if there is any doubt as to whether the class should happen.

Our Covid Policy

As this is an unusual type of activity being organised by an unusual type of organisation it is not absolutely clear what category of organiser the club falls into under Covid legislation, or what type of activity we are treated as organising.  The definitions are also not consistent across different pieces of legislation and change frequently.  To avoid members of the committee being liable for not taking steps that we could be required to take if we were treated as being organisers of certain types of activity we are taking every step that might be required for all the categories that we could be treated as falling under, including collecting contact details for NHS Test and Trace.

- Please don't come to this class if you have Covid symptoms or are required to be self isolating.

- Please reduce the Covid risk to other participants by not engaging in high risk activities, and by taking advantage of the University / NHS asymptomatic Covid testing opportunities available to you.

- Please walk or cycle where possible, and do not use carshares involving people outside your household or support bubble

- Please wash your hands frequently and before coming

- Please note that there are no toilet or changing facilities available to us

- We encourage people not to arrive excessively early

- When you arrive please leave your belongings 2m from other people's, at the edge of the area where they will not be a tripping hazard.

- Details required for NHS test and trace purposes will be required during the registration process

- Please maintain a distance of 2m from all participants at all times, before the class, during the class, if accessing belongings during a break in the class, and after the class.  If you see anyone moving too close together please tell them!

- Please do not share objects or pass objects between each other

- Please do not bring spectators.

Safety During the Class

- The venue has been visited by a member of the club committee and is known to be generally suitable for the activity, and the class will be set with trainers in mind.  However you must examine the grass around where you will dance for risks such as bumps, litter or animal activity.  If you find a risk please make sure other participants are aware of it.  If the weather has been dry for some time before the class you might prefer to wear an old pair of ballet shoes, but in this case you should be aware of the increased risk of injury to your feet and particularly carefully examine the grass for any risks, which could include small twigs.

- Omit or replace any skill that you are not comfortable with performing as a result of any aspect of the ground conditions, your footwear, or your ability.

- Please stay away from belongings, hard surfaces, picnic benches, the duck pond, and vegetation.  If you see someone moving towards a danger please let them know!

- After the class you will have the opportunity to return to the nearest lit road as part of a (socially distanced) group

NHS Test & Trace Information and Privacy: Recording staff, customer and visitors details:  how we use your information

To support NHS Test and Trace (which is part of the Department for Health and Social Care) in England, we may have been mandated by law to collect and keep a limited record of staff, customers and visitors who come onto our premises for the purpose of contact tracing.

By maintaining records of staff, customers and visitors, and sharing these with NHS Test and Trace where requested, we can help to identify people who may have been exposed to the coronavirus.

As a participant in an outdoor class you will be asked to provide some basic information and contact details. The following information will be collected:

  • the names of all participants
  • a contact phone number and e-mail address for each participant
  • date of visit and arrival time and departure time

CUBC will be responsible for compliance with data protection legislation for the period of time it holds the information. If that information was requested by the NHS Test and Trace service, the service would at this point be responsible for compliance with data protection legislation for that period of time.

The NHS Test and Trace service as part of safeguarding your personal data has in place technical, organisational and administrative security measures to protect your personal information that it receives from the venue/establishment, that it holds from loss, misuse, and unauthorised access, disclosure, alteration and destruction.

NHS Test and Trace ask for information to be retained for 21 days from the date of your visit, to enable contact tracing to be carried out by NHS Test and Trace during that period. We will only share information with NHS Test and Trace if it is specifically requested by them.

We will require you to pre-book visits.

Under government guidance, the information we collect may include information which we would not ordinarily collect from you and which we therefore collect only for the purpose of contact tracing. Information of this type will not be used for other purposes, and NHS Test and Trace will not disclose this information to any third party unless required to do so by law (for example, as a result of receiving a court order). In addition, where the information is only collected for the purpose of contact tracing, it will be destroyed by us 21 days after the date of your visit.

However, the government guidance may also cover information that we would usually collect and hold onto as part of our ordinary dealings with you (perhaps, for example, your name, date of birth and phone number). Where this is the case, this information only will continue to be held after 21 days and we will use it as we usually would, unless and until you tell us not to.

Your information will always be stored and used in compliance with the relevant data protection legislation.

The use of your information is covered by the General Data Protection Regulations Article 6 (1) (c). The legal obligation to which we may be subject means that we may be mandated by law, by a set of new regulations from the government, to co-operate with the NHS Test and Trace service, in order to help maintain a safe operating environment and to help fight any local outbreak of corona virus.

We do not transfer personal data outside the UK / EU.

By law, you have a number of rights as a data subject, such as the right to be informed, the right to access information held about you and the right to rectification of any inaccurate data that we hold about you.

You have the right to request that we erase personal data about you that we hold (although this is not an absolute right).

You have the right to request that we restrict processing of personal data about you that we hold in certain circumstances.

You have the right to object to processing of personal data about you on grounds relating to your particular situation (also again this right is not absolute).
