Event Booking
Manage all your events and courses online, from a five day course to the Christmas party. The WebCollect system has been designed to be flexible and easy to use. Upcoming events are displayed prominently on your organisation's home page, so your members can plan ahead.
Events
Display your events with easy to use navigation. Members can find your events on a list of upcoming events, browse through the calendar, or via event categories. Members can book online, and pay immediately online, or pay later by cash or cheque.
Event Features:
- Multiple dates, useful for courses that run every week or month
- Restrict capacity, set a maximum number of tickets available for each date
- Member only and Open events
- Restrict when tickets can be sold, e.g. stop selling the day before the event
- Multiple pricing options, e.g.Adult, child
- Option to make bookings public, so members can see who has already booked on
- Add documents for the members to download(booking conditions, maps or additional information)
Forms
Event forms are quick to set up and very useful for collecting additional information about participants. You can use them to:
- Obtain member's consent (e.g. Parental consent, or acknowledgment that they read the terms & conditions)
- Display on the event page a list of who has signed up (some members like to know who else is going...)
- Print off a summary of the forms completed - so on the day you have a list of who's coming, contact numbers etc.
- Set the form up so members only have to complete questions relevant to them
- Use the same form for multiple events (once you have done the hard work once, you won't need to touch it again
Categories
You can use event categories to group your events, making it easier for your members to find what they are looking for. Upload some nice images to catch their attention.
WebCollect's event category manager makes it simple to manage many categories (and sub-categories) and a vast array of events all on one screen.
Complex Events
WebCollect is designed to handle complex events. Recurring events, such as weekly or monthly courses or training sessions are handled within a single event.
Events that require participants to purchase tickets for multiple activities within the event, can be set up using a combination of categories and events. So if you are running an event, where you need people to sign up for the competition itself, plus a range of social activities, buy event sponsored clothing etc, have a look at this example:
Your Site
WebCollect's embed feature enables you to display your events, and calendar, within your own website. Members can browse through your upcoming events without leaving your site.
Bookings
View a summary report of bookings for all events, or a detailed report for each event. You can send event participants an email, print off a booking summary to take with you to the event, or download the bookings. Set yourself up to receive an email each time someone books onto the event.
Individual members can be set up as Event Co-Ordinators, enabling them to view and manage specific events without being given access to all your organisation's administration panel.
