Cambridge Alumni Society Template

The Sample Cambridge Alumni Society has been tailored specifically for Alumni Societies connected to Cambridge University. 

Using this template to create your trial organisation will provide you with a pre-made set of subscriptions and example events, together with tailored content.

Subscriptions

The Sample Society comes with 4 types of subscription set up:

  • Annual membership with price £10 and a fixed end date of 31st October
  • Honorary subscription:  A free 10 year subscription that can only be allocated by the Society
  • Mailing List subscription:  A free subscription, entitling non-members to receive details of events run by the Society
  • Donations:  A one-off donation for £10, £50 and £100.  Members can purchase multiples if they want to donate more.

You can change or remove these, and add new ones to suit.  Note:  If you want to change from a fixed end date subscription to a fixed period (or vice versa), you will need to remove the subscription product, and add a new one.

Events

The Sample Society has 2 event categories and 4 sample events set up:

  • Boat Race Drinks, with 2 alternative price options and unrestricted capacity
  • Evening Lecture, open to non-members as well as members, with different prices for each
  • Bridge Match vs Oxford, including a booking form configured to display the names of those that have signed up
  • Pimms Party, with restricted numbers and an early closing date for bookings

These sample events have been designed to illustrate what is possible, and can easily be adapted.  You can also remove the events and add new ones

Forms

Membership Form

The Sample Membership Form is an interactive form including the following fields/questions:

  • Are you an alumnus/a?  Yes/No radio button question.  Only those that answer Yes, see the following questions
  • College.  Dropdown list of all the Cambridge University Colleges
  • Subject.  Multi-checkbox list of all subjects (catering for multi-discipline degrees)
  • Year of Matriculation
  • Spouse/partner name

Participant Form

This form is for use where you want to collect specific information about those attending an event, for example if you want to display a list of people who have booked onto a particular event.

Payment Methods

When you create a trial organisation, based on one of the templates, the trial will have cheques enabled to get you started.  You can add other payment methods.

Content

The sample organisation has content/wording that is relevant for a University Alumni Society, ready for you to tailor to your particular organisation.  Click on edit in Customise your organisation.  We recommend you go through each of the tabs in this section, and update the content where relevant.  See details here.

What Next?

Great.  So you now have a working trial.  We suggest that you now:

  • Place some test orders, so you can see how the process will work for new members
  • Import your members (ask us to run the cleardown script first if you have added test members/orders)
  • Ask us to import your current subscriptions for you
  • Share it with your Committee and/or members
  • You may also want to embed WebCollect within your website.
